Before the event

Our official Tartan Tea Party Day is Wednesday 21st May, but you can host your event whenever suits you best.

We’re asking people to pop on the kettle, gather your crew and host your very own Tartan Tea Party to raise vital funds to help the 1 in 5 people in Scotland affected by chest, heart and stroke conditions and Long Covid.

Every penny you raise will allow us to reach even more people who desperately need our help.

You can download our fundraising resources for your Tartan Tea Party to help promote your event and use on the day.

We also have some items in our online shop including our own branded tea bags which you can order for your tea party.

If you are organising multiple Tartan Tea Parties, and need more than one printed pack, please email us at [email protected] with more information about your events and what you need.

 

Raising money

Once you sign up, we’ll send you your free fundraising pack which is full of ideas to help make your event a success. You could hold a raffle, quiz or best cake competition!

If you need a little more inspiration, you can find tips, recipes and ideas in your fundraising pack and on our website too.

You can now create a QR code on your fundraising page using JustGiving. You can add it to your posters or signs so that your guests can access your fundraising page easily.  Visit JustGiving’s page on creating your own QR code.

In JustGiving, you can now have a poster created for your fundraising page which you can print off with a QR code. You can do this once you have set up your page by visiting the ‘share this story’ section on your fundraising page and selecting the print option.

 

How to pay in your money

If you have set up a JustGiving page, the money on your fundraising page will be sent to us automatically so you don’t need to do anything. If you have any other donations, you can pay them in a number of different ways:

  • Bank transfer:

Please quote your unique reference ID number on your bank transfer. You can find this on your welcome letter or contact us if you need more help at [email protected]

  • Bank – Use the bank pay in form attached to your welcome letter
  • Cheque – You can send a cheque to our head office: Chest Heart & Stroke Scotland, 2nd Floor, Hobart House, 80 Hanover Street, Edinburgh EH2 1EL

 

Health and Safety

When hosting a Tartan Tea Party, it’s helpful to be aware of food regulations. Here’s a quick guide:

  • For Individuals: If you’re a member of the public, you are not subject to the food standards regulations or the UK Food Information Amendment (Natasha’s law)
  • For Schools and Organisations: Schools or organisations hosting a Tartan Tea Party and inviting the public to donate goods are not subject to these regulations either.
  • For Registered Food Businesses: If a school, organisation, or other host is a registered food business and provides their own products, they must follow food standards regulations, including Natasha’s Law, for any goods they produce.

While it’s not a legal requirement for the public, it’s best practice to list allergens wherever possible. For more detailed guidance, visit the Food Standards Agency (FSA) website.

CHSS Accessibility Guide

It’s important that your event is safe and legal for everyone involved. Chest Heart & Stroke Scotland cannot be held liable for accidents, injuries, loss or damages as a result of your event.

We’ve highlighted useful information and advice below to help you.

  • Permission – If you’re holding your Tartan Tea Party in a public place, you will need to get permission first. This can either be from the local authority or the property owner.
  • Photos – If you’re taking photos of your guests at your event, please make sure you let them know.
  • First aid – If you’re holding a large event with lots of people, make sure that you have appropriate first aid support in place. You can get advice from the following organisations:
  • St John Ambulance
  • British Red Cross

As a general rule, smaller events should always have someone available to assist. For larger events with approximately 500 attendees, it’s recommended to have at least two qualified first-aiders on site.

  • Insurance – If your Tartan Tea Party involves the general public, it’s important to have Public Liability Insurance in place. The venue you’re using may already have this so make sure to check with them first. If you’re holding an event at home or on private property, check your insurance covers this too.
  • Public collections and lotteries – If you are holding a public collection or lottery, please check with your local Council in case you need a licence.
  • Data protection – Collect only the information you need, ensure it’s kept secure and don’t share it. Retain the data only for as long as necessary. For details on how we protect and use personal data, please refer to our privacy policy.

If you’re under 18 years old, you must have a parent or guardian’s permission to fundraise.
